Every home construction project is unique. Whether it’s a remodel or repairs tied to an insurance claim, your project will be customized to your needs. This guide outlines what you can expect and the roles of SERVPRO, your insurance company adjusters, and your mortgage company. We’ll be with you each step of the way.

Pre-Construction Phase

Approval

Before starting a home construction project, it’s important to do your homework. If you need approvals from a homeowners’ or condominium owners’ association, that has to be done before work can begin.

Estimates and Finalizing the Estimate

We use the Xactimate estimating software for all construction projects and will provide a copy of your estimate as an attachment to your Construction Work Authorization.

Deposits and Progress Payments

We provide you with a Deposit and Draw Schedule as an attachment to your Construction Work Authorization. Note that failure to make progress payments may hold up your project. This includes the payment of the deposit (depending on state law).

Mortgage Companies

If you have a mortgage on your home, some lenders and insurance companies may issue “multiple party” checks the include you, your mortgage company, and us. This will require you to contact your mortgage company.

Material Selections and Changes

Taking the time to research and select materials—carpet, tile, flooring, etc.—as soon as possible can yield significant time savings over the duration of the project, since some items may have long lead times.

You will need to sign this document for any work to begin.


Construction Phase

Scheduling Tradesmen

Arranging access to your home and communicating any scheduling constraints, for both SERVPRO and tradesmen, is critical to an efficiently run construction project. Coordinating schedules between tradesmen and homeowners is the most common reason for project delays.

Weekly Communication

We’ll contact you at least weekly during the construction phase with information on the status of your project. Be sure to notify us of the best times and method for communicating with you.

Inspecting Work-In-Progress

If your project requires several different activities such as carpet, flooring, drywall, and painting, it’s important that you look at each phase of work as completed to make sure any issues are identified and addressed quickly.

Supplements

An unforeseen issue can arise after the project is underway, resulting in additional costs. (Example: the discovery of additional damage not visible until demolition was underway.) We try to anticipate these occurrences, but we can’t foresee them all. In such cases, we’ll work with your insurance company to see if this issue can be added as a “supplemental” to your claim. However, you may need to sign a Change Order to cover the additional cost.

Change Orders

You might want to change or upgrade the materials used on your project after the initial estimate has been accepted. We’ll try to work with you to incorporate these changes, but once we start work on your project, we can’t make structural changes or changes that impact ordered materials.

Progress Payments

If the estimated cost of your project is more than $10,000, you may be asked to make interim payments as your project progresses. For insurance-related work, it’s important to stay in close contact with your insurance adjuster and mortgage company, if applicable, to be sure payments are made promptly, or work on your project may be delayed or stopped.

Construction Standards

Our professionals adhere to the National Association of Homebuilders Residential Construction Performance Guidelines for Professional Builders & Remodelers Fifth edition. If issues with work quality are identified quickly as the repairs are made during the project, the walk-through should be a simple confirmation of the work performed and final sign-off.

Certificate of Completion

Once all work has been completed you will be asked to sign this document acknowledging that the work is complete and meets industry standards.

Final Payment

At the end of the project if there are deemed to be any items that are incomplete (e.g. back ordered light fixtures or minor completion items), you may withhold an amount equal to 150% of the reasonable value of those items from the final payment to us. This payment will be paid to us upon completion of those items.
